Vehicle expense records your accountant can review.
A bank transaction proves money moved. It does not always explain which vehicle it belonged to, what was purchased, the business use or where the original invoice went. A useful vehicle ledger keeps those facts connected.
Drilore can structure the facts you enter and export them. Your circumstances, the ATO rules and your chosen calculation method determine what records and apportionment are required.
Five layers of a useful expense record
Identify the vehicle
Vehicle name, Rego and the odometer reading give each cost the right context.
Identify the transaction
Expense date, invoice date, category, vendor and payment method explain what happened and when.
Keep the amount detail
Total, GST, quantity, unit, fuel type, unit price and line items make the number reviewable.
Keep the supplier detail
ABN, invoice number, phone and address help connect the saved row to the source document.
Keep the source
An invoice or receipt image remains the evidence behind the structured fields you checked.
What the CSV is for
In Drilore you can filter by one vehicle or all vehicles, choose a time period and include only the categories you want. The CSV then exports vehicle, Rego, expense and invoice dates, category, supplier, amount, GST, ABN, invoice number, payment method, odometer, address, line items and notes.
That file is suitable for a spreadsheet review or for giving a registered accountant a consistent starting point. Keep the original invoices separately; a CSV summary is not the source document and is not a full Garage backup.
What the CSV cannot replace
Depending on the claim and calculation method, ATO guidance may require receipts or invoices, odometer records, a representative logbook and evidence showing how an expense relates to earning income. An expense saved in an App is not automatically deductible, and private use still needs to be separated where the rules require it.
Version 1.1 exports vehicle expenses. It does not claim to be a compliant work-journey logbook, prepare a tax return or lodge information with the ATO.
A simple routine that reduces tax-time cleanup
Record promptly
Add the expense while the vendor, odometer and reason are still clear.
Check the draft
Compare recognised invoice fields with the original image before saving.
Review monthly
Look for missing receipts, duplicate entries and costs attached to the wrong vehicle.
Export the right slice
Choose the relevant vehicle, dates and categories, then keep the source documents with the export.
Ask the professional
Let your accountant decide treatment, apportionment and any additional evidence needed.
